Job Description

JOB SUMMARY:

The Fleet Management Officer is responsible to assist the HR & Admin Team in monitoring the company vehicles and company facilities, procurement of supplies and the consolidation of weekly and monthly reports and other fleet duties.


DUTIES AND RESPONSIBILITIES:

  • Inspect all company owned vehicles to ensure their safety and reliability.
  • Monitor company drivers to ensure that they comply with administrative policies and procedures, safety rules, and government regulations.
  • Document, process, and analyze information pertaining to vehicle performance such as fuel consumption and convert it to a detailed report.
  • To monitor usage of service vehicles as detailed in the service policy.
  • To record and forward to the Management and Insurance all incidents involving damage to service vehicles (incident report, police report et.al)
  • Ensure that all company owned vehicles are serviced and maintained based on the preventive maintenance schedules.
  • To assist in maintaining vehicles in accordance with Occupational Health and Safety guidelines.
  • Strive to exceed personal and workgroup targets specified in the Key Performance Indicators set for the department.
  • Prepare the weekly and monthly reports of the company vehicles.
  • Ensure the accuracy of the billings sent by service providers and insurance companies.
  • Utilizing GPS systems to monitor drivers and track vehicles.
  • Scheduling regular vehicle maintenance to ensure operational efficiency.
  • Handle procurement process for administrative needs, including sourcing and purchasing office supplies, equipment, and services.
  • Act as a messenger for documents, ensuring timely and secure delivery between departments and external parties.
  • Perform other related duties as required.

JOB QUALIFICATION:

  • Candidate must possess at least Bachelor's/College Degree related to fleet management, logistics, or a related field.
  • Minimum of 1-2 years of experience in fleet management, logistics, or a related field.
  • Must have a Professional Driver’s License.
  • Strong organizational and time management skills.
  • Ability to multitask and work effectively in a fast-paced environment.
  • Analytical mindset and good problem solving skills.
  • Must have technical expertise, with people skills, computer literate, and excellent communication skills for both English and Filipino (oral and written).
