  • Provide administrative support to executives, including scheduling appointments, managing calendars, and arranging travel itineraries.
  • Assist with the preparation of documents and presentations including spreadsheets, reports and other projects as assigned.
  • Maintain and organize files, including confidential data and records.
  • Manage and route incoming communications to appropriate parties or departments.
  • Coordinate meetings, managing logistics including preparation of meeting materials, coordination with participants, and scheduling video conference sessions.
  • Act as liaison between executives and staff members, providing information, resolving issues, and answering questions as needed.
  • Perform general office duties such as answering phones, greeting visitors, and ordering office supplies.
  • Maintain professionalism, confidentiality and client service in all interactions.
  • Complete other duties as assigned.
The Administrative Specialist/Assistant is an important role that requires strong organizational and communication skills. The Administrative Specialist/Assistant will provide high-level administrative support to executives and staff members, handling responsibilities such as calendar management, document preparation, communication management, and much more. Successful candidates for this position will be able to work independently and handle multiple tasks simultaneously while consistently demonstrating a professional demeanor. They must also demonstrate a high level of attention to detail and confidentiality while effectively prioritizing tasks and collaborating across teams.

  • Education: At least a high school or senior high school diploma is required.
  • Experience: Applicants must have 1 to 3 years of experience in administrative support, office management, or related fields.
  • Computer Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
  • Communication skills: Good written and verbal communication skills; ability to clearly convey information to superiors and colleagues.
  • Organizational skills: Excellent organizational and time-management skills to perform various administrative tasks and handle multiple projects concurrently.
  • Detail-oriented: Must exhibit attention to detail and accuracy, especially when summarizing or reviewing documents or preparing reports.
  • Team player: Ability to work collaboratively with coworkers and maintain a positive attitude in a fast-paced environment.
  • Adaptability: Able to work independently, take direction, and respond well to changing priorities.
  • Customer service: Ability to maintain a professional and courteous demeanor, particularly when interacting with clients and customers.
  • Problem-solving: Possess critical thinking and problem-solving skills to identify problems and offer creative solutions.
